What is the difference in capabilities between EMS Rapid Archive and EMS Enterprise Archive?
EMS Rapid Archive is designed to provide the essential requirements needed for today’s archiving needs, including compliance with the new Federal Rules of Civil Procedure. EMS Enterprise Archive remains as the Dell MessageOne™ most comprehensive email archiving solution. When compared with EMS Enterprise Archive, EMS Rapid Archive does not include:
- Storage Management (requires upgrading to EMS Enterprise Archive)
- End-user access (available as an option)
- Windows Authentication integration (available as an option)
- Outlook Extension integration (available as an option)
- Time based recovery capabilities (available as an option)
- 24/7 Support (only during business hours)
Can I start small and grow later?
EMS Rapid Archive can be installed in a day for any number of users. Many customers choose to initially implement for a sub-set of users for a pending litigation hold or a key set of executives and later decide to expand to the entire organization. Provisioning additional users requires no additional management or resources on your part and can also be done in a day. Unlike other archiving systems EMS™ has a flexible retention policy management engine that can add users with unique retention policies at any time.
Legal Holds, increased compliance requirements for Federal Rules of Civil Procedures (FRCP) rule changes, and the ongoing evolution of business practices are requiring changes to retention period policies.
For many archiving systems, retention periods are fixed lengths and often locked in at deployment. The costs to change these systems often include upgrades, new hardware and licensing, consulting fees, professional services and increased maintenance costs. EMS Rapid Archive has built-in flexible and granular retention policy engines that allow changes or Legal Holds at any time without the costs of difficult in-house modifications.
EMS on-demand services can provide virtually infinite mailboxes for any number of users, can be expanded at any time, and the costs associated with deploying and maintaining EMS are fully known upfront.
Does EMS Rapid Archive require EMS Email Continuity™?
No. Each service is often implemented independently, but when combined the benefits are greater than the sum of the parts. Together, a single copy of each email is stored for use in disaster recovery and archiving, and both systems are administered from a common web-based console reducing system complexity and administrative headaches. Email downtime is eliminated, providing a more accurate archive. Email and the archive are always available and your retention policies are always working regardless of the status of your local infrastructure, staff and systems.
Can end-users remotely access archived emails?
User access is not a standard feature of EMS Rapid Archive but can be added as an option.
How long does an enterprise wide archive search take?
Less than a second. Built using the latest retrieval methods including a full text index of message headers, body and attachments, emails are quickly retrieved based on any criteria or search terms.
What types of attachments can you search?
Over 370 types of attachments are indexed and can be rapidly searched providing you with complete results of any attachment search.
Who is able to retrieve archived emails?
Administrators can search globally or delegate tightly bounded “scoped reviewer” search authority to others as needed for legal or departmental review.
How is the archive managed?
Administrators have full control over which users are included in the archive, their individual retention periods, who has access to the archive, and whether users can restore individual messages from the archive back into their mailbox.
What audits are available?
EMS Rapid Archive provides a complete audit trail for all operations including permission and policy changes.
Where does the archived data reside?
Within the Dell MessageOne global network of top-tier disaster recovery datacenters.
Can you handle multiple email aliases?
Yes. EMS Rapid Archive synchronizes with Active Directory® to locate all aliases and distribution list entries.
What are your retention periods?
Retention rules can be set granularly by user, group, department, job function, level, for any period of time.
Does the Dell MessageOne Email Archiving Services have enterprise-class security?
Yes. EMS Rapid Archive utilizes strong-key encryption, secure transport, a customer specific key for storage, and full integrations with Windows® Authentication®. All data is encrypted at rest in the datacenters. It is also transmitted in an encrypted fashion. No VPN or dedicated network is required to secure email.
In the optional recovery process, how is data restored?
Data recovery is an optional service. Data is restored directly to the users’ inboxes using a native connection to Microsoft® Exchange as an identical copy of the original email that was lost.
How does EMS Rapid Archive impact my network?
EMS does not require customers to set up special network connections like VPNs, nor do they need to open inbound connections into their network.
How do you deal with confidential and intellectual property?
Securely. Access is integrated with Windows Authentication and all data is stored and transmitted encrypted. For e-Discovery, administrators or legal staff can be granted strictly bounded review permissions.
If I choose to change vendors can I get my data out of your system?
Yes, all email and attachments can be exported back to your environment.
How can I import email data into EMS Rapid Archive?
Email can be imported from your primary email system or .pst files.
